UAN stands for Universal Account Number. It is essential for every employee - whether working in a private or public organization - as it comes under the umbrella of Employee Provident Fund (EPF) process and can be utilized online to activate and register for tracking the PF payments.
The employers who have over 20 employees working in their organization are required to register for EPF. Employees with minimum wages of Rs.15,000 are expected to be enrolled under the EPF scheme. Employers having less than twenty employees can also register themselves in EPF voluntarily. Any employer who is registered with the EPFO can issue UAN to their employees enrolled under the plan. The UAN is used as an identification number of the employee under the EPFO. It is also required for logging in to the EPFO Portal.
Registering on the EPFO Member Portal is a quick and convenient process for new users. Following are the steps required for registering on the portal:
a. Visit the EPFO Member Portal.
b. On the home page, click on "Activate UAN" link provided under the "Important Links" tab in the lower right corner of the page.
c. Following the click on the "Activate UAN" link, the user will be redirected to a new webpage where the person is required to feed in the essential details regarding UAN, member ID, Aadhaar and PAN (Optional), name, date of birth, mobile number (the number registered with EPFO), email ID, and then enter the validation code before submitting the form.
d. Upon filling the details and the auto-generated captcha code, the user should click on the "Get Authorization Pin" button.
e. After this, an "One Time Password" or OTP will be sent to the registered mobile number, and the user will be again redirected to a new webpage.
f. On this webpage, the user needs to verify the details provided by him/her on the previous page, such as name, UAN, and member ID, etc.
g. Once the details are verified, the user should provide his/her consent against the "I Agree" option by ticking the checkbox through a click. Below this option, a field for the OTP will be provided.
h. Once the steps as mentioned above are completed, the user can enter the OTP received on the registered mobile number in the provided field and click on the "Validate OTP and Activate UAN" option.
i. After the registration process is complete, the following message will be displayed on the user's screen - "Your UAN is activated"- the password will be sent to the registered mobile number.
Following are the mandatory documents required to generate UAN:
1. Bank details like Account number, IFSC code, and Branch name.
2. Passport
3. Aadhaar card
4. PAN card
5. Ration card
6. Driving license
7. ESIC card
The EPFO App was introduced in 2015 and can be used to access EPFO information through mobile. To activate the UAN, an individual is required to download the app and enter the UAN and the registered mobile number. Once submitted, the individual will get the requested details.
An activated UAN permits the employees to add nominees to their EPF account. For this purpose, the subscriber or user is required to log in to the UAN member portal first. After login, the user should select the "Profile" tab on the dashboard. Under the "Profile" tab, click on the "Edit Nomination Details" option. Clicking on this option will redirect the subscriber to the nomination form. In the form, the user should enter the required personal and employment details. Since the user has already registered these details with UAN, this section is automatically filled out. The same form also has information about the family members of the user and the nominees. The details of nominees and the family members can be updated by the user in this section if required.
Generating UAN Through Aadhaar
The subscribers can create their UANs using the aadhar card by following these steps:
a. Visit the EPFO member portal.
b. Click on "Online Aadhaar Verified UAN Allotment" tab.
c. Enter the aadhar card number.
d. Click on "Generate OTP."
e. Enter the OTP received on the registered mobile number and then click on the "submit" button.
f. The page will show the aadhar card details.
g. Then click on "Register."
h. Following which, a UAN will be allotted.
Allocation of UAN to New Employees
As soon as the employee joins a new company, the employer will collect previous PF account details of the employee, do the verification and will forward the same to the EPFO for the UAN generation. Once the EPFO generates it, the employer will pass the UAN info to the employee.
Q1. Is it possible to download/view the passbook?
Yes, one can download/view the passbook through the following process:
a. Log in to the member portal using the UAN and the password.
b. Visit the menu option, click on the "Download" tab and select "Download Passbook."
c. One can thus download the PDF file of the passbook.
Q2. Why does the UAN list all the past member IDs?
The UAN was launched with an aim to consolidate multiple member IDs that had been allocated to a single member. It has been done to help a member or user view all the member IDs and check the eligibility for online transfer of his/her PF amounts. However, in the future, the user should disclose the previous Member IDs or UAN to the new employer through Form-11. Hence, it eliminates the need to list the previous member IDs in the UAN. The linking of member ID will be done automatically from the information mentioned in the Form-11 document.
Q3. Is it possible to upload the KYC documents through the UAN Members e-Sewa portal?
Yes, it can be done. On the portal, visit the 'menu' option, click on the 'Profile' tab and select 'Update KYC Information.' It will enable you to upload the KYC document from your system. The employer should approve this document; otherwise, the status of the KYC will appear as 'Pending.'
Q4. Why am I allocated two UANs?
If two Universal Account Numbers have been allotted to you, then maybe your previous employer did not file your exit date, and your previous PF account has been transferred to your current organization. In such a scenario, immediately report the issue either to your employer or send an email to [email protected], mentioning your Universal Account Numbers or UANs. After verification, the previous UAN will be blocked, and the current UAN will become active. Subsequently, you can submit a request for the transfer of service and funds to the active Universal Account Number.
Q5. Can I update my mobile number or e-mail id in the UAN Member Portal?
Yes, your mobile number and email id can be updated in the UAN portal. For this, visit the profile menu and click on "Edit Mobile No" or "Edit Email ID" tab, and enter your new mobile number or e-mail id.
